- Patient and guardian information needed to schedule and provide orthodontic care.
- The content of messages that you send us and that we send you (texts, emails, call notes).
- Clinical information created during treatment (protected health information, or “PHI”).

- To schedule, confirm, and remind you about appointments.
- To communicate with you about your (or your child’s) treatment and respond to your questions.
- To route clinically relevant messages — for example, a report of a broken bracket — to our care team.

3. SMS / text messaging
With your consent, we send text (SMS) messages such as appointment reminders, confirmations, care-related follow-ups, and replies to messages you send us. This messaging program is operated by Rome AI on behalf of Majeroni Orthodontics, and messages are sent from +1 (925) 886-3744. You can give that consent in one of two ways: in writing, by giving us your mobile number and checking the consent box on our opt-in page or our new-patient intake form; or verbally, by saying yes when a team member asks you on the phone. The script they work from, and the points they always cover on those calls, are published on our opt-in page. Calling us, texting us first, or giving us a mobile number is not consent on its own.
Message frequency varies based on your appointments and communications. Message and data rates may apply from your mobile carrier.
Consent is optional. Agreeing to receive text messages is never a condition of becoming a patient, booking or changing an appointment, completing our forms, receiving treatment, or making a payment.
Opt out at any time by replying STOP to any message; we will stop sending messages to that number. Reply HELP for help, or contact our office using the details below. Opting out of text messaging will not affect your ability to receive care.
We do not sell, rent, or share your personal information — including your mobile phone number and your SMS/text-messaging opt-in or consent — with any third parties or affiliates for their own marketing or promotional purposes. Mobile opt-in and consent data is never shared with third parties for marketing.
4. How we share information
We share information only as needed to provide care and run the practice, including with:
- Service providers who process information on our behalf under contract (for example, our messaging provider that delivers texts, and our secure software vendors). They may use the information only to provide services to us.
- Other healthcare providers involved in your care, when appropriate.
- Authorities when required by law or to protect safety.
We do not sell your personal information.
5. Data retention & security
We retain information for as long as needed to provide care and to meet our legal and professional obligations, then dispose of it securely. We use administrative, technical, and physical safeguards designed to protect your information; no system is perfectly secure, but we work to keep your information protected.
